Resolve Common PALCard Problems
- Supervisors or Reconcilers can email requests to PALCard@uci.edu.
- Supervisors should email requests to PALCard@uci.edu if it is a permanent request.
- One time request must be processed through our UCIBuy+ site. See instructions to complete the request.
- Identify incorrect charge(s) and contact vendor directly.
- Explain the situation and request credit for full or partial amount, depending upon resolution.
- Allow 7 calendar days for vendor to issue credit.
- Cardholders and Reconcilers will receive a PALCard Documentation (PCDO) notification of credit, accessible in KFS Action List.
- Call U.S. Bank at 800-344-5696 when a disputed charge cannot be resolved with a vendor after 7 calendar days.
- Disputes must be filed with U.S. Bank within 60 calendar days of the transaction date to guarantee insurance protection.
- Request to have the fraud statement emailed to your UCI email address.
- Immediately report suspicious or fraudulent transactions to U.S. Bank at 800-344-5696 within 60 calendar days of the transaction date to guarantee insurance protection
- U.S. Bank will close the account and issue a replacement PALCard within 2-3 working days.
- Replacement PALCards are expedited to Procurement Services and the cardholder will be notified as soon as the card arrives.
- If goods are returned via USPS, FedEx, or other carrier:
- Call supplier to determine how to return goods and follow packaging and packaging instructions.
- Request a credit to your PALCard or the re-shipment of the correct goods.
- If goods are returned in person:
- Take goods and PALCard receipt to supplier.
- Exchange goods if desired. Use your PALCard for credits and additional charges, if any.
- Retain receipts as part of your purchase documentation.
- Do not accept a refund in cash, check, merchandise credit, or gift card.
- An email will be sent from PALCard@uci.edu notifying when the credit has posted to your account with a supplier.
- Contact U.S. Bank at 800-344-5696.
- A $5 charge for each copy will be billed to your PALCard.
- Contact U.S. Bank immediately at 800-344-5696 to protect your account from fraudulent or unauthorized use.
- After you have notified U.S. Bank, email PALCard@uci.edu.
- U.S. Bank will close your account and issue a new card for pickup at Procurement Services.
- Prompt action on your part will eliminate your department's liability for fraudulent charges.
